Job Description :

Job Description & Key Responsibilities:

  • Event Planning & Execution:
    • Assist in the end-to-end execution of events, including corporate events, exhibitions, and trade shows.
    • Develop event timelines, production schedules, and execution plans for seamless operations.
  • Element Sheets Creation:
    • Prepare detailed element sheets outlining event deliverables, designs, technical requirements, and layouts.
    • Maintain and regularly update inventory sheets with production elements required for events.
  • Vendor Management:
    • Identify, onboard, and maintain relationships with reliable vendors for fabrication, sound, lighting, AV, and other event essentials.
    • Negotiate vendor contracts, pricing, and deliverables to ensure cost-effectiveness and timely execution.
  • Cost Estimates & Budgeting:
    • Prepare comprehensive cost estimates based on client requirements and project scope.
    • Track and manage budgets during the planning and execution phases.
    • Analyze post-event budget reports to identify savings and improvement areas.
  • On-site Coordination:
    • Supervise event setups and execution to ensure flawless production.
    • Coordinate with technical, design, and logistics teams on event day operations.
    • Act as the primary point of contact for vendors and production staff on-site.
  • Documentation & Reporting:
    • Maintain detailed records of event production processes, purchase orders, and vendor contracts.
    • Generate post-event reports highlighting operational efficiencies and improvement opportunities.
