Description :

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Managing Director in Surat, Gujarat. The ideal candidate will be experienced in handling a range of administrative and executive support tasks, have impeccable attention to detail, and be able to work independently with little supervision. 
 

Responsibilities::

  • Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the Managing Director.
  •  Draft and prepare correspondence, memos, presentations, and reports as needed.
  •  Administrative Support:
  • Manage and maintain the MD's schedule, including appointments, meetings, and travel arrangements
  • Screen and prioritize incoming communications (emails, calls, letters) and respond on behalf of the MD when necessary
  • Prepare and edit correspondence, reports, presentations,
  • Manage and prioritize requests for the Managing Director's time and attention.
  •  Calendar Management:
  •  Coordinate internal and external meetings, ensuring all necessary materials and resources are prepared in advance.
  •  Efficiently manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
  •  Documentation and Information Management:
  • Prepare agendas, take minutes during meetings, and distribute notes and action items.
  • Project Assistance:
  • Support special projects and initiatives by conducting research, compiling data, and preparing presentations or reports.
  •  Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.
  • Strong organizational skills with the ability to multitask and prioritize workload.

Skills :

  • Excellent follow up skills
  • Excellent verbal and written communication skills.
  • Should have working knowledge of MS OFFICE especially Excel & Word
  • There should be job stability, not someone who has been jumping jobs often.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work effectively both independently and as part of a team.
  • Professional demeanor and strong interpersonal skills.
  • Ability to adapt to changing priorities and deadlines.
