The Warehouse Executive is
responsible for the physical handling, accurate storage, and systematic
tracking of all stock — including coffee beans, event materials, packaged SKUs,
and cafe requirements. This role ensures inventory integrity across B2B and B2C
channels, smooth inward and outward movements, and compliance with quality and
safety standards at the warehouse and estate level.
. Coffee
Stock Management
•
Receive, inspect, and log
all inward stock — roasted coffee, blends, and packaged products
•
Ensure proper labelling,
binning, and FIFO rotation of coffee stock across SKUs
•
Maintain accurate physical
stock counts and reconcile with system records daily
•
Segregate estate produce,
B2B bulk stock, and B2C retail packs appropriately
•
Report damaged, expired, or
near-expiry stock to the Logistics Manager immediately
2.
Inventory & Material Tracking
•
Maintain real-time stock
registers (digital + physical) for all coffee and packaging materials
•
Track inward and outward
movements of stock and finished goods
•
Coordinate with the
roasting/processing team on production inputs and outputs
•
Maintain records of estate
stock transfers, courier dispatches, and B2B bulk shipments
•
Conduct weekly and monthly
stock audits; flag discrepancies with documentation
3. Order
Picking, Packing & Dispatch Support
•
Pick and pack B2B and B2C
orders accurately as per dispatch lists and client SOPs
•
Prepare dispatch-ready
shipments with proper labelling, weight, and packaging quality
•
Coordinate with the
logistics team for timely handover to courier/transport partners
•
Ensure zero order errors —
correct SKU, quantity, and destination for every dispatch
•
Support fulfilment of bulk
B2B orders including loading of consignments
4.
Warehouse Operations & Housekeeping
•
Maintain cleanliness,
systematic shelving, and organised layout of the warehouse
•
Ensure fire safety, pest
control, and compliance with food-grade storage norms
•
Operate warehouse equipment
(pallet movers, weighing scales) safely and correctly
•
Implement 5S practices for
storage zones; label racks and bins clearly
•
Report infrastructure
issues, equipment breakdowns, or stock hazards promptly
5.
Estate & Vendor Coordination
•
Coordinate with the coffee
estate team for timely stock transfers and documentation
•
Receive and verify estate
lot deliveries — check variety, weight, and quality grades
•
Liaise with packaging and
input material vendors for stock replenishment
•
Maintain vendor delivery
records and flag shortages or quality issues
6.
Documentation & Compliance
•
Prepare and maintain GRNs,
delivery challans, stock transfer notes, and outward registers
•
Support preparation of
E-way bills, invoices, and LR documentation when required
•
Ensure all stock movements
are documented and reconciled with the billing team
•
Maintain traceability
records linking estate lots to processed and dispatched orders
Skills:
•
Graduate in any discipline;
diploma/certificate in warehouse management is a plus
•
1–3 years of experience in
warehouse, FMCG, or food/beverage operations
•
Working knowledge of
inventory management software or ERP systems
•
Physically fit and
comfortable with warehouse operations, loading/unloading
•
Attention to detail,
ownership mindset, and ability to work in a fast-paced environment
•
Basic knowledge of food
safety, storage hygiene, and FIFO/FEFO principles
•
Good communication skills
for coordination with internal teams and vendors
