Job Description:
- Oversee daily office operations to ensure efficiency and a well-organized workplace.
- Manage office supplies, equipment, and facilities.
- Provide administrative support to executives, managers, and other team members.
- Assist in preparing, formatting, and proofreading documents, reports and presentations.
- Manage incoming and outgoing communications, including emails, phone calls, and mail.
- Coordinate communication between different departments and external contacts.
- Schedule appointments, meetings, and conferences.
- Coordinate travel arrangements and accommodations for staff.
- Maintain and organize records, files, and databases.
- Ensure the confidentiality and security of sensitive information.
- Accurately input and update data in spreadsheets, databases, and other systems.
- Interact with clients, customers, and visitors in a professional and courteous manner.
- Address inquiries and provide information as needed.
- Keep track of inventory levels and reorder supplies as necessary.
- Assist in preparing meeting materials.
- Set up and clean up meeting rooms.
- Implement and maintain efficient filing systems or timely compliance .
- File and retrieve documents as needed.
- Identify and address routine problems or challenges related to administrative tasks.
- Work as part of a team to ensure smooth operations.
- Ensure compliance with company policies and procedures.
- Prioritize tasks and manage time effectively to meet deadlines.
- Assist in tracking and managing expenses, including processing reimbursement requests.
- Handle multiple tasks simultaneously and switch between different responsibilities
