Job Description:

  • Oversee daily office operations to ensure efficiency and a well-organized workplace.
  • Manage office supplies, equipment, and facilities.
  • Provide administrative support to executives, managers, and other team members.
  • Assist in preparing, formatting, and proofreading documents, reports and presentations.
  • Manage incoming and outgoing communications, including emails, phone calls, and mail.
  • Coordinate communication between different departments and external contacts.
  • Schedule appointments, meetings, and conferences.
  • Coordinate travel arrangements and accommodations for staff.
  • Maintain and organize records, files, and databases.
  • Ensure the confidentiality and security of sensitive information.
  • Accurately input and update data in spreadsheets, databases, and other systems.
  • Interact with clients, customers, and visitors in a professional and courteous manner.
  • Address inquiries and provide information as needed.
  • Keep track of inventory levels and reorder supplies as necessary.
  • Assist in preparing meeting materials.
  • Set up and clean up meeting rooms.
  • Implement and maintain efficient filing systems or timely compliance .
  • File and retrieve documents as needed.
  • Identify and address routine problems or challenges related to administrative tasks.
  • Work as part of a team to ensure smooth operations.
  • Ensure compliance with company policies and procedures.
  • Prioritize tasks and manage time effectively to meet deadlines.
  • Assist in tracking and managing expenses, including processing reimbursement requests.
  • Handle multiple tasks simultaneously and switch between different responsibilities
