Organisation Profile: Company is a not-for-profit organisation with the objectives of heritage awareness, archiving and conservation. Company conducts free online talks on history and heritage every week, as well as exhibitions, lectures, cultural events, workshops and more at its multi-cultural space in Fort, Mumbai - Company Lab - The Lab also hosts a library that will be available to the general public for reference. Company is also involved in heritage advocacy, and works with government, businesses and organisations to promote heritage in keeping with its vision of ‘Heritage Evangelism. Company name stands for Keeping Heritage Alive and Kicking in India. To manage the functioning of the Foundation and the Lab on a day-to-day basis, as well as managing the events and activities of the Lab and the Foundation, Company is looking for a Manager - Operations.Job description:
The Manager will be responsible for the smooth functioning and day-to-day
management of the Foundation’s activities across the following major areas:
1) Event Management (40%)
Manage the venue’s event calendar, secure collaborators/partners/speakers,
and design final programme details, schedules, and event requirements. Execute events end-to-end while maintaining venue upkeep and operations for
smooth delivery. Manage private bookings of the KL space for other events Outreach with press and other media to promote events at the Lab
2) Project Management (25%)
Outline project objectives, schedules, financial plans, and results while ensuring
synergy between sponsors, associates, and the internal workforce.
Oversee organizational messaging, fiscal tracking, and field activities to meet
deadlines, monitor key performance indicators, and facilitate growth.
Deliver frequent progress reports to the executive team to ensure strategic
consistency and the successful conclusion of all initiatives.
3) Library Management (15%)
Manage the library by maintaining existing books in the system, updating
records for new books and keeping library IDs and cataloguing systems current,
and ensuring books are correctly arranged on shelves.
4) Merchandise Management (10%)
Manage online and offline sales and dispatch
Maintain merchandise stocks
5) Finance Coordination (10%)
Maintain monthly records of projected budgets versus actual spends for the
Foundation.
Coordinate and track donations and proceeds received from events and
activities.
Coordinate with finance teams for reconciliations and reporting.
The role requires strong coordination skills, operational discipline, attention to detail,
and the ability to manage multiple stakeholders and activities simultaneously.
Skills:
Resources/ Support Provided:- 1 Office Boy to assist with maintaining the KL office and supporting day-to-day administrative requirements.
- Interns available to support operational and project-related tasks as required.
- Company-provided laptop for work purposes. Skills and Requirements
Education:
- Graduate in any discipline. 2-3 years’ experience in managing events & administration
- Interest in heritage, culture, books, and community engagement preferred
- Strong organisational and coordination skills
- Good communication skills and stakeholder management abilities with fluency in English. Fluency in Marathi and Hindi will be appreciated.
- Basic finance and inventory management understanding Ability to manage events independently
- Ability to multitask and work in a dynamic cultural environment.
